Facilities Specialist
Location & Hours
Onsite (You will be assigned one of the shifts below)
Morning Shift (1 role): 10 AM to 2 PM, negotiable
Evening Shift (1 role): 6 PM to 10 PM, negotiable
Role Summary
- Take and maintain an inventory of all masjid assets
- Coordinate with requestors in lending and tracking tables, chairs and other assets
- Manage access to secured areas of the property
- Assist in continually ensuring safety and security of the masjid
- Draft and maintain a property maintenance checklist ( with guidance of facilities Director)
- Perform routine maintenance inspections and report violations to Facilities Director
- Report safety and security defects and/or violations to Facilities Director
- Assist with facilities maintenance projects
- Ensure optimal use of utilities, including controlling/adjusting usage of lights, water and HVAC
- Propose enhancements to masjid facilities, including opportunities to modernize and digitize access controls, CCTV, signage, etc.
- Be well-versed with and observe the norms and etiquette of the masjid at all times

Eligibility Requirements
- Ability to lift 20–30 lbs and assist with light physical tasks
- Familiarity with Microsoft Excel or Google Sheets for tracking inventory and tasks
- Basic understanding of building maintenance needs (cleaning, repairs, room setup)
- Strong organizational skills and attention to detail
- Ability to perform walk-through inspections and document findings
- Comfortable working in a hands-on, on-site environment
- Willingness to take initiative and communicate with supervisors about facility needs
- Background or interest in Property Management, Operations, or Project Management (preferred)
- Punctuality and dependability are a must

Events Coordinator

Role Summary
- Maintain masjid Events and Rooms calendars in partnership with the Social Affairs Director and other stakeholders
- Coordinate with event requestors and other internal teams (such as Facilities) to make necessary arrangements for events
- Coordinate with Marketing and Communications teams to ensure events are communicated effectively to the community or extended audience
- Coordinate with the Treasurer to make food or snacks arrangements for events
- Coordinate with Digital Media team to make audio/video and streaming arrangements as necessary
- Assist in arranging babysitting for events that warrant the service
- Assist the Social Affairs Director in planning and coordinating educational and community engagement events (ex: picnics)
- Be mindful of the needs of different stakeholders when coordinating events
- Ensure event attendees have the best possible experience with every event
- Propose enhancements to event management and coordination processes, including digitization and automation initiatives

IT Specialist

Role Summary
- Manage and administer masjid IT systems – internet, wireless, email (M365) and CRM, etc. – in collaboration with the Chairman of the Board
- Provision user accounts and assist with user identity lifecycle management
- Fulfill service requests from masjid employees, volunteers and other users of IT systems
- Troubleshoot technical problems with email and other communication apps and systems
- Assist with IT projects (ex: migration of M365 to a new tenant, rollout of Salesforce CRM)
- Maintain and support masjid’s AI chatbot
- Propose process and technology enhancements to better serve masjid employees and other stakeholders
- Be well-versed with and observe the norms and etiquette of the masjid at all times

- Assist in preparing and publishing weekly newsletter
- Coordinate with Event and Media teams to identify and fulfill communication requirements
- Identify communication gaps, be it process or technology, and suggest enhancements
- Improve engagement with key stakeholders

- Assist in maintaining and fine-tuning masjid audio and video systems
- Coordinate with Event and Facilities teams to align on requirements and deliver services for masjid events and programs
- Assist with preparing and publishing weekly newsletter
- Propose digital media enhancements and explore opportunities to make processes more efficient
